ACTION REQUESTED:
1) Authorize the County Manager to negotiate and execute an agreement substantially consistent with this agenda item, and 2) adopt CPO #347B to recognize and receive the revenue and appropriate funding for the project costs.
PRIOR BOARD ACTIONS:
The Board approved a lease agreement with the United States Department of Agriculture for office space in its April 19, 2021 meeting.
BACKGROUND:
Union County has provided office space through a lease to the United States Department of Agriculture consistently on a three (3) year cycle. The current lease expires on July 31, 2024. In the fall of 2023, the United States Department of Agriculture requested, through the Facilities and Fleet Management Department, that the County consider making some security enhancements to the space they lease. A scope of work was developed and a quote received for $26,760.00. The scope of work includes the installation of glass wall partitions with doors, new framed doors and door hardware.

The United States Department of Agriculture agreed to the scope and cost of the work and confirmed they would reimburse the County for these costs upon completion and acceptance of the work. The County will be responsible for funding the construction up front and be reimbursed after completion. The County intends to use currently appropriated capital funds, Facilities Operating Capital account, to enter into an agreement with the contractor providing the quote.

The United States Department of Agriculture requested that the reimbursement be executed using an amendment to the current lease agreement. In order to receive the revenue and appropriate funding, staff is requesting that the Board approve CPO #347B.
