ACTION REQUESTED:

Authorize the County Manager to 1) negotiate and execute an agreement substantially consistent with this agenda item, 2) exercise any renewal or extension term options set forth in the Agreement, and 3) terminate the Agreement if deemed in the best interest of the County, each in the County Manager's discretion.

BACKGROUND:

On January 9, 2020, Union County formally entered a contract with Hart InterCivic, Inc. through the Board of Elections for the acquisition of the Verity 2.2 voting system. This comprehensive system encompasses both hardware and software components, along with ongoing technical support to ensure optimal functionality during elections. As outlined in the contract, the Board of Elections is obligated to renew the License and Support subscriptions prior to their expiration. We are requesting an extension of this service agreement for the February 01, 2025 - January 31, 2026 term period.

FINANCIAL IMPACT: 

The anticipated annual cost for this service is $73,801.00. Funding is available in the adopted FY2025 budget appropriation with future expenditures subject to annual BOCC budget appropriation.
