ACTION REQUESTED:
Authorize the County Manager to negotiate and execute an agreement substantially consistent with this Agenda item.
BACKGROUND:
Union County currently maintains a MFP Print/Copy technology in our cost per copy program. The current contract was obtained through a Cooperative Agreement. In September 2021, through its Information Technology Department, Union County solicited proposals from experienced and qualified firms to provide a multi-function printer (MFP) solution and cost per copy program countywide, as well as supplies and services to maintain production. An evaluation team was created staffed by the department’s business managers, Finance, and Human Resources. RFP 2022-014 was designed to have vendors submit a solution that provides a mix of black & white and color printers and multifunction printing devices and printing services. The multifunction devices requirements included scanning, copying, two-sided printing, multiple paper sizes, and fax over IP solution. In addition, the County desired to enter into a contract providing supplies and services to maintain production. The County received numerous bids, and the County has chosen the vendor of choice to be Sharpe Business Systems.
FINANCIAL IMPACT:
The total estimated contract cost for a three year period is $585,000. The estimated cost for each fiscal year will be included in the annual operating budget ordinance adoption.
