ACTION REQUESTED:
Authorize the County Manager to 1) approve the branded apparel agreement under the Union County Fixed Price Term Agreements Policy, 2) authorize the County Manager, in his discretion, to negotiate and execute subsequent amendments pursuant to the Fixed Price Term Agreements Policy, and 3) authorize the County Manager, in his discretion, to terminate the agreement if deemed in the best interest of the County.

BACKGROUND:
The Procurement Department partnered with Public Communications to issue Request for Proposals 2024-088 Branded Items Fulfillment and Virtual Company Store. On July 15, 2024, three proposals were received and reviewed by an evaluation team in accordance with applicable evaluation criteria for this project. The top ranked two firms/vendors were invited to shortlist interview/presentations. As a result, the team requests approval to enter into a contract with the top scoring/ranked preferred offeror, Business Impact Group, LLC, to provide branded items fulfillment and online employee store services. This contract has an initial term of three years with two, one-year renewal options at the sole discretion of the County and is subject to annual budget appropriation.
FINANCIAL IMPACT:
One-time set-up fees for this service are $1,150. The anticipated annual cost for warehousing/inventory fees is $3,000. Since this contract contains an initial term of three years with two one-year renewal options, a total of $16,150 is estimated to be spent. Funding is available in the adopted FY2025 budget appropriation with future expenditures subject to annual BOCC budget appropriation.
