INFORMATION CONTACT:

Christopher Boyd, Facilities & Fleet Management, Director, 704-283-3868

ACTION REQUESTED:

Authorize the County Manager to 1) negotiate and execute an agreement substantially consistent with this agenda item, 2) exercise any renewal or extension term options set forth in the Agreement, and 3) terminate the Agreement if deemed in the best interest of the County, each in the County Manager’s discretion.

PRIOR BOARD ACTIONS:

None.

BACKGROUND:

This agenda item requests approval to purchase five (5) vehicles, one (1) as a vehicle replacement and four (4) as expansions to the overall fleet. The replacement vehicle will replace vehicle asset 46-14, assigned to Social Services, which was deemed a total loss due to an accident in May 2023. The County’s insurance carrier issued a financial settlement of $9,018.53 for the totaled vehicle that will be applied toward the cost of the replacement vehicle. The Tax Administration/Assessment Office was approved to add one (1) expansion vehicle in the FY2024 budget. Human Services/Social Services will also add three (3) expansion vehicles. The Human Services Director has confirmed appropriate funding for these expansion vehicles in the FY2024 budget.

Vehicle Summary:

Replacement(s):

One (1) 2024 Chevrolet Malibu - Human Services/Social Services, $25,030.30 (with $9,018.53 of insurance settlement applied after purchase) - Replaces Asset 46-14

Expansion(s):

                     One (1) 2024 Chevrolet Equinox - Tax Administration/Assessment, $27,566.30

Three (3) 2024 Chevrolet Equinox - Human Services/Social Services, $27,566.30 ea., $82,698.90 total

N.C.G.S 143-129(e)(3) and N.C.G.S 143-129(e)(9) allow local governments to make purchases through a competitively bid North Carolina Statewide Term Contract or a Group Purchasing Program.

The purchase of the vehicles will be made using North Carolina State Term Contract 070A as quoted by Capital Chevrolet. The Procurement Department has vetted this contract and purchase amount.

FINANCIAL IMPACT:

The anticipated cost for the vehicles is $135,295.50 and is budgeted accordingly for FY2024.
