ACTION REQUESTED:
Authorize the County Manager to approve purchase orders for preservation of records which total over $100,000.
PRIOR BOARD ACTIONS:
August 14, 2023, Regular Meeting, Agenda Item # 23-458 - Approved purchase orders totaling over $100,000 for preservation of records.
BACKGROUND:
The Register of Deeds’ office utilizes Kofile Technologies for preservation projects that consists of real estate and vital records from the early 1900’s and up. As these records are irreplaceable and nonreproducible, safeguarding and security are primary factors. This is a continuing project and spending has exceeded $100,000. These funds are paid out of the Automation Enhancement and Preservation Fund (AEPF).
FINANCIAL IMPACT:
The anticipated cost for the preservation projects will not exceed what is available in the AEPF Fund and is budgeted accordingly for FY2025.
